Vacancy: Corporate Administration Officer

The Australian High Commission, New Delhi, is seeking applications for the position of Corporate Administration Officer at the Australian High Commission, New Delhi.

Subject to the successful completion of up to a six month probationary period, satisfactory medical check and background verification, the successful applicant will be offered a two-year contract of employment, inclusive of the probation period. The contract may be extended subject to agreement between the employer and employee.

The commencing salary will be determined based on the qualifications and experience of the selected candidate. The package will include annual leave, limited medical reimbursements, Diwali bonus, provident fund provisions and gratuity provisions when service length is sufficient. The position encompasses a starting salary of Rs33, 055 per month.

About the Department of Foreign Affairs and Trade (DFAT)
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the Position
Primary purpose of this role is to provide administrative support to the DFAT Corporate Admin and Consular/Passports Teams.

The key responsibilities of the position include, but are not limited to:

1. Manage calendars for the Consul-General and Consuls including ensuring that newly arrived A-based and LES have appropriate briefings and inductions with all areas;
2. Liaison with Agency heads and other staff members to ensure maximum participation in meetings or desktop activities especially with quarterly SLA, WHS and Property meetings and the CAP exercises;
3. SLA and CANZA meeting organization and minute taking, distribution and including follow up on action items;
4. Assist with preparing monthly IAS recoveries and quarterly VAT refund for Attached Agencies;
5. Entering FMA payment vouchers for DFAT and Attached Agencies;
6. Answering phones for SAO/Consuls and face to face inquiries in an attempt to attend to small queries or issues (often property, transport or event related queries from Attached Agencies);
7. Monitoring of property lease expiration and maintenance of the OPO lease database;
8. Assist with implementation of Environmental Management Plan for the mission;
9. Improve flow and efficiency in the Corp/Admin section by organizing appropriate meetings, work flow, room bookings, preparing meeting agendas and other ad-hoc work as directed by the Consul-General;

Qualifications/Experience

1. Completion of a graduate level is required.
2. One to two years of progressively responsible experience in office administration.
3. Fluent English language skills, proficiency in Hindi is required.
4. Must have sound Information Technology skills and the capacity to quickly become proficient in High Commission systems, programs and policies.
5. High level of flexibility and willingness to work outside regular hours at short notice.

SELECTION CRITERIA

1. Demonstrated ability to effectively organize, plan and deliver services, to prioritise the work load and to meet deadlines.
2. Well-developed problem solving skills with a focus on complex administrative issues.
3. Demonstrated ability to work effectively in a team-based environment.
4. A high level of written and spoken English and Hindi is required.
5. Demonstrated ability in the use of the Microsoft Office suite, including Outlook, Word, Excel and Power Point.
